Employee Directory

One source of truth for every person, team and reporting line — that your people help keep current.

The problem

People data lives in a dozen places — a spreadsheet HR maintains, a Slack profile someone forgot to update, an org chart drawn once and never touched again. New joiners get inconsistent employee IDs, managers can’t see who reports to whom, and "who’s out today?" is a question nobody can answer without asking around.

How we solve it

ASHR.work makes the directory the living heart of the platform. Every profile is tied to a role, a department and a reporting line, with a manager tier layered on top. Employees maintain their own contact and availability fields, so the record stays fresh without HR chasing anyone — and admins keep control of the fields that matter for compliance.

How it works

  1. 1

    Invite or add your people

Invite employees by email, or add a record without a login for people who don’t need one — no seat is billed until they sign in. Moving from spreadsheets or another HRMS is assisted rather than self-serve: talk to us and the team helps you load your data. Each person is auto-assigned an employee ID in your organisation’s own format (a configurable PREFIX#### pattern), so IDs are consistent from day one.

  2. 2

    Map the reporting hierarchy

Assign managers and a manager tier. The directory, org chart and approval routing all read from the same reporting lines — set it once, and it powers leave approvals, reviews and team views everywhere.

  3. 3

    Let employees keep it current

Employees self-maintain their contact details and set an out-of-office availability status. Admins retain edit rights over designation, department and structural fields.

Why it’s effective

Always current, without the chase

Because employees own their own fields and availability, the directory reflects reality instead of the last time HR did a clean-up.

One hierarchy, reused everywhere

The same reporting tree drives approvals, reviews and org charts — no parallel structures to keep in sync.

Consistent identity from the start

Per-tenant employee-ID formats mean every record, letter and payslip references the same ID scheme.

Frequently asked

Who can edit an employee’s profile?
Employees maintain their own contact details and availability; admins control structural fields like designation, department and reporting line. Employee IDs are auto-generated in your organisation’s configured format.
Does the directory power anything else?
Yes — the same reporting hierarchy drives leave approvals, review routing and the org chart, so you set it once and it’s reused everywhere.
