How do I add a new employee, and how do they sign in?

Admins add an employee from the Add New Employee form, then the new hire gets a welcome email and sets their own password. You never set or see their password.

Quick answer

Admins add an employee from the Add New Employee form at /employees/new (reached via Admin Dashboard → Organisation tab → Add employee). Enter their name, email, employment type and joining date, then Create Employee. The new hire then gets a welcome email and sets their own password — you never set or see one.

Where is the Add Employee button?

This trips people up. The Admin Dashboard → Employees tab is a read-only roster — it lists people with a View link and has no Add button. There is also no "Employees" item in the left sidebar.

To add someone, use one of these:

Admin Dashboard → Organisation tab → "Add employee"   (a quick-action link)

Type the address directly:  /employees/new

Open /employees (the full list page) → "+ Add Employee" button, top-right
  1. Open the form

    Go to Admin Dashboard → Organisation tab → Add employee, or just open /employees/new.
  2. Fill in the details

    Full name and email are required. Pick the employment type and date of joining. Employee ID auto-assigns if you leave it blank.
  3. Create the employee

    Click Create Employee. For a normal (login) employee, an invite email goes out automatically.

What happens after I click Create Employee?

For a standard employee (someone who should log in), the system:

  1. Creates their account with no password set — nobody sets a temporary password.
  2. Sends a welcome email to the address you entered, from hello@ashr.work, titled "Welcome to [your company] — set up your ASHR.work account".
  3. Waits for them to click Set up your account in that email.

When they click the link they are signed in automatically and taken to a screen to choose their own password (at least 8 characters) and start onboarding.

You provide:  their name + email
They choose:  their own password (via the emailed link)
You never:    set, see, or need their password

So what is the new employee's password?

Whatever they set on the "set up your account" screen. There is no default or temporary password to share. Just tell them to watch their inbox for the welcome email and follow the link.

The welcome email didn't arrive — now what?

  1. Check spam

    Ask them to look for an email from hello@ashr.work.
  2. Resend the invite

    Open the employee from /employees and use Resend invite. It creates a fresh sign-in link you can email again or copy and send directly (for example over chat).
  3. Already signed in once?

    If they've logged in before and lost access, they use Forgot password on the login page — not the invite.

If, right after creating the employee, you saw a message saying "Employee created, but email did NOT go out", the invite never sent — use Resend invite to get them a working link.

Adding a contractor without a login

For payout-type workers (contractor, freelancer, vendor worker) the form shows a Create without login toggle. Turning it on tracks and pays that person without giving them an ASHR.work account — no welcome email, no password, and no billed seat. You can invite them to log in later from their employee page.

When does the employee ID appear?

An Employee ID is assigned as you create the record — leave the field blank and the next ID for your organisation is generated automatically (for example EMP-… or SAAS0011). Enter a value only to override it.
